How to Schedule an Exam
All examinations should be scheduled in advance when possible to minimize patient wait times and allow us to promptly treat your patients. Same day walk-in studies are acceptable, but please note that wait times for walk-in’s are subject to schedule availability and insurance verification.
To streamline the registration process and minimize your time on the phone here are some important steps when calling for an appointment:
- Find out before hand if the patient's insurance policy or plan requires a pre-cert/authorization or a referral. If so, contact the insurance company to obtain one.
- Provide Hoboken Radiology with complete insurance information, including a copy of the insurance card, name and address of plan or insurer(s), name and address of your claims payer (if different from insurer), ID and group numbers, and the name of the policyholder or subscriber if different from patient.
Things to remember when scheduling your exam:
- Notify our staff as well as your physician if there is any chance that you may be pregnant or are currently breastfeeding.
- Advise us of special circumstances such as physical limitations, significant medical conditions and allergies.
- It is important that you notify our staff of any previous exams ( such as PET, MRI, CT, Ultrasound, Bone Density, X-ray, Biopsy, etc.) , where they were performed, and provide a copy of previous reports and films if possible.
- A cancellation notice of at least 24 hours is required.
Pre-Certification/Authorization
Some insurers require prior authorization before an exam can be administered. While this process must be initiated by the referring physician, our staff at Hoboken Radiology is available to help. If you have trouble obtaining authorization, feel free to call us and discuss the matter with one of our appointment coordinators.
All referrals and pre-certifications/authorizations should be made out to:

National Oncologic PET Registry
Hoboken Radiology participates with the National Oncologic PET Registry (NOPR). The NOPR is a collaboration of the American College of Radiology Imaging Network (ACRIN), the American College of Radiology (ACR), and the Academy of Molecular Imaging (AMI), to ensure access to Medicare reimbursement for certain types of positron emission tomography (PET) scans.
The goal of the National Oncologic PET Registry is to assess the effect of PET with F-18 fluorodeoxyglucose (FDG) and sodium fluoride F-18 (NaF-PET) on referring physicians’ plans of intended patient management for those cancers and indications not currently eligible for reimbursement from the Centers for Medicare and Medicaid Services (CMS). Data is collected from the referring physician before and after the PET study. In order for Hoboken Radiology to be eligible for reimbursement by CMS, collection of required data must be reported to the NOPR within 30 days of the PET scan. Without our participation with the NOPR, Medicare patients would be denied approval for the above mentioned studies and be required to cover the cost of the PET themselves.
Sodium fluoride F-18 (Naf-PET) Bone Scans for the detection of osseous metastasis is currently covered through the NOPR. It is a direct replacement technology for traditional Tc-99m Radionuclide Bone Scans.
For a listing of indications (FDG only) currently covered by CMS and the NOPR click here.
Image Gently (Pediatric CT Studies)
Hoboken Radiology complies with the Image Gently campaign, an initiative of the Alliance for Radiation Safety in Pediatric Imaging, whose goal is to increase the awareness of the opportunities to lower radiation dose in the imaging of children. Hoboken Radiology applies different techniques to lessen the amount of radiation children are exposed to during CT, while still enabling diagnostic quality images. For more information visit www.ImageGently.Org.
Medtronics & Stryker Protocol Scans
Hoboken Radiology can accommodate your need for Medtronic and Stryker Protocol CT-Sinus Scans. These image guided scans undergo an extensive quality assurance program to insure compatibility and compliance with either surgical system. After a CD of the scan is produced, it is thoroughly checked by several staff members before receiving a finalized inspection signature. Many of our image guided scans are personally delivered to the referring physician’s office to insure that images are easily available if surgery is needed. Overall, we understand the importance of having reliable and functional images for your surgical needs, and we do our very best in maintaining our reputation as a high quality, dependable facility.
